Who you’re dealing with

ReplyPigeon is run by HS Business Hub in Ontario, Canada. It’s one person. For anything about your data, email hsbizhub26@gmail.com.

What I collect

  • Your account: email address and a hashed password.
  • Your business settings: business name, its Google place identifier, city, category, public phone number, your chosen reply tone, and any brand voice notes you write.
  • The drafts: the reply text written for you, and which tone produced it.
  • Billing: a Stripe customer reference and your subscription status. I never see or store your card number.

What I don’t store

I do not keep the text of your Google reviews, the names of the people who wrote them, or their star ratings. Google’s terms let me store a place identifier but not review content, so every time you look at your reviews they are fetched fresh and thrown away after. What stays in the database is an identifier for each review and the reply drafted for it.

I never ask for your Google password, and using ReplyPigeon doesn’t require you to log in to Google.

The free scan tool

The scan at replypigeon.com/scan needs no account. It looks up a business, drafts replies, shows them to you, and keeps none of it. There’s no record of what was searched.

Who else handles your data

I use these providers, and only for what’s listed:

  • Vercel — hosts the website and runs the code.
  • Supabase — stores accounts and business settings.
  • Google (Places API) — supplies the review data it reads.
  • Anthropic — receives the review text so it can draft a reply. It’s sent for that one request and isn’t used to train their models.
  • Resend — delivers the emails containing your drafts.
  • Stripe — takes payment and holds your card details. I don’t.

Some of these providers operate outside Canada, which means your data may be handled in other countries. I don’t sell your data and I don’t share it for advertising.

How long it’s kept

Account and business settings are kept while your account is open. Delete your account and they go, along with the drafts written for you, within 30 days. Records I have to keep for tax or accounting reasons stay as long as Canadian law requires.

Your rights

You can ask for a copy of what I hold about you, ask me to correct it, or ask me to delete it. Email hsbizhub26@gmail.com and I’ll answer within 30 days. If you’re unhappy with how I handle it, you can complain to the Office of the Privacy Commissioner of Canada.

Email you’ll get

You get your drafted replies, and the odd message about your account. Those are the service. If I ever send marketing email you can unsubscribe from it, and that won’t stop the service emails.

Cookies

There’s one cookie and it keeps you signed in. That’s it. No advertising trackers, no third-party analytics.

Security

Data is encrypted in transit, passwords are hashed, and access to the database is restricted so one customer can’t read another’s data. No system is perfectly secure. If a breach affects you, I’ll tell you and the relevant authorities as the law requires.

Children

ReplyPigeon is a business tool. It isn’t meant for anyone under 18.

Changes

If this policy changes I’ll update this page and the date at the top, and email you if the change materially affects you.
